Make ChatGPT more actionable with your Outlook mailbox, people directory, and saved contacts. The Outlook Email app enables ChatGPT to securely search and reference messages, look up people, and—when actions are enabled—create and manage Outlook contacts and contact folders.

Capabilities and Permissions
What it can do
Search and retrieve messages from the signed-in user’s mailbox, including metadata such as subject, sender, recipients, timestamps, and plain-text body.
Support keyword and structured message searches such as from:, subject:, and date filters.
Return full message text for results returned by search.
Search relevant people, work or school directory users, and saved mailbox contacts.
List and retrieve Outlook contacts and contact folders.
Create, update, and delete Outlook contacts and contact folders when actions are enabled.
Permission requested (scopes)
Note: The app requires the following scopes to be reviewed and approved by your Microsoft Entra admin. If the scopes are not approved by your Entra admin, you may see an error when trying to connect the app within ChatGPT.
Approval of scopes does not immediately make all actions available to users. Admins and owners must still review app actions in Workspace settings > Apps for the app. In Action control, admins can choose how the app's current actions are handled by allowing all actions, allowing only read actions, or selecting a custom set of actions.
If admins select Custom, they can also choose how actions added later are handled by selecting Enable all new actions, Only enable new read actions, or Disable new actions. If admins select Disable new actions, they must review and enable new actions before users can use them. After admins allow additional actions, users may need to reconnect the app to use them.
Microsoft apps permissions required
Some actions in the Outlook Email, Outlook Calendar, Microsoft Teams, and SharePoint apps require Microsoft Graph permissions that a Microsoft Entra administrator must grant for the organization. A ChatGPT workspace owner or admin and a Microsoft Entra administrator may be different people, so coordinate with the person who can grant organization-wide consent.
Review permissions in ChatGPT
For each enabled Microsoft app:
Sign in to ChatGPT as a workspace owner or admin.
Go to Admin → Apps and select Enabled.
Open the app’s overflow menu and select Manage app.
Select Microsoft permissions.
Review each Microsoft Graph permission and the ChatGPT actions listed beneath it. Upcoming means an action is included for advance permission review but is not currently available. Approved means the permission was included in the last successful approval flow completed through ChatGPT for that app and workspace.
Select only the permissions your organization wants to include in the request. The available permissions and actions can differ by app. If your organization does not want to grant a permission, leave it out of the request and keep every action that depends on it disabled.
Complete the request in Microsoft Entra
Select Review permissions in Microsoft Entra. If Microsoft Entra does not open, allow pop-ups for ChatGPT and try again.
Sign in with a Microsoft Entra administrator account that can grant organization-wide consent.
Confirm that the correct organization and the verified ChatGPT / OpenAI, L.L.C. application are shown.
Review the selected permission request. The Microsoft Entra confirmation screen does not provide per-permission checkboxes: select Accept to grant the complete selected request, or select Cancel to make no change.
Return to ChatGPT and confirm that the approval flow completed.
Repeat the review for every enabled Microsoft app. Microsoft permissions are granted to the Entra tenant and OpenAI application, while ChatGPT tracks the permission review for each workspace and app.
After permissions are approved
Microsoft permission approval does not enable ChatGPT actions or connect an individual user’s Microsoft account. Workspace owners and admins must separately enable the actions they want to make available. Users may also need to connect or reconnect their Microsoft account after permissions change.
If an action still does not work, confirm that:
The action is enabled in the ChatGPT workspace’s app settings.
The permission grant still exists in Microsoft Entra.
The user’s Microsoft connection has been created or refreshed with the required permissions.
If an Entra administrator later changes or revokes the grant directly in Microsoft, review the grant in Entra and rerun the ChatGPT approval flow.

Contacts.ReadWriteShared/delegated mailbox actions are supported via dedicated actions and scopes. You must provide the exact mailbox owner email (UPN) when accessing shared mailboxes.
Known limitations
Search precision follows Microsoft Graph indexing latency — very recent emails may take a short time to appear.
Some broad or long-running requests (for example, summarizing all emails over an extended period of time) may exceed service limits enforced by Microsoft. In these cases, ChatGPT may return an error.
Workaround: Narrowing the date range or breaking the request into smaller queries often resolves the issue.
Your workspace owner or admin may restrict which Outlook accounts you can connect, to an approved set of domains.
MailboxSettings.Read scope is required to provide answer in the user's timezone and reference mailbox categories.
Outlook write actions are not available when using the app through Company Knowledge.
Attachments from messages in shared or delegated mailboxes can’t currently be retrieved. The list_attachments and fetch_attachment actions work only with messages in the signed-in user’s mailbox.
Outlook Calendar app
The Outlook Calendar app allows ChatGPT to read and search calendar events and availability using Microsoft Graph APIs. It can also look up people and—when actions are enabled—create and manage Outlook contacts and contact folders. Calendar event data remains read-only.
