This article provides important information about your administrator-managed ChatGPT account (for example: bobby@acmecorp.com). It includes information that was provided to you when your account was set up (called the “Managed ChatGPT Account Notice”). It summarizes what your organization’s administrator can access and control when you use ChatGPT with a managed Enterprise, Edu, Healthcare, Business, or Teachers account, including when you use the account switcher.
Your administrator can access and control data in this account
Your administrator manages this account and the ChatGPT data associated with it. That means your administrator may be able to access, export, audit, retain, delete and opt-in to share data with OpenAI tied to this account, including (where enabled by your organization’s configuration and applicable law):
Content you submit to ChatGPT (prompts, files you upload, and outputs you generate)
Conversation history and shared workspace content
Usage and activity metadata (for example: sign-in activity, device/session info, feature usage)
Security and privacy settings available to your organization for this account
Your administrator may also be able to restrict or disable features, suspend access, or delete this account.
Your administrator controls which services you can use
Your administrator decides which organization-managed services and features you can access with this account (for example: workspace features, apps, data controls, sharing settings, retention policies, or other admin-managed capabilities). Your administrator can turn off particular services or limit them to certain groups.
Account switching does not merge accounts
The account switcher is designed to let you switch between accounts, not combine them.
If you sign into a managed account and a personal account, they remain separate.
Data created in your managed account is governed by your organization’s controls.
Switching accounts does not move chats, files, or settings between accounts.
If you want to ensure your work data stays under your organization’s governance, use your managed account for work-related activity.
Your organization’s agreement with OpenAI apply
If your organization provides administrator-managed access to ChatGPT, your use of those services is governed by your organization’s agreement with OpenAI, including OpenAI Usage Policies, and your organization’s internal policies (for example: acceptable use, data handling, security, retention, and monitoring policies). OpenAI reserves the right to enforce its Usage Policies across accounts connected via Account Switcher.
Contact your administrator for a copy of this agreement and policies.
Additional terms and privacy policies
Important: The OpenAI [Terms of Use](https://openai.com/policies/row-terms-of-use/) and [Privacy Policy](https://openai.com/policies/row-privacy-policy/) do not apply to your use of ChatGPT while you are signed in to your administrator-managed account.
If your administrator enables optional or additional services while you’re signed in to this managed account, those services may be governed by additional service-specific terms and privacy policies. If you do not agree to those terms, do not use those optional services with this managed account.
If your account becomes administrator-managed later
If your account is currently self-managed or team-managed, it may later become managed by a domain administrator (for example, if your organization claims or verifies your domain). If that happens, your administrator may gain the access and controls described above for data associated with that managed account.
How to find your administrator
If you’re not sure who your administrator is, contact your IT or security team, or your organization’s help desk.
Use a personal account for non-work activity
You can access ChatGPT outside of your organization’s managed environment by using a personal account that is not managed by your organization. If you want your personal activity to remain outside organizational administration, sign in with your personal account and confirm you’re in the correct account before starting a chat.
