Overview
A workspace is a unique ChatGPT environment with its own settings, members, and resources.
Personal workspaces are tied to existing ChatGPT accounts, and contain chats, memory, context, apps, and other ChatGPT features specific to the user. Similarly, organizations can set up workspaces for their ChatGPT Business accounts, containing information, features, and context applicable to the organization and its members.
Users can join a ChatGPT Business workspace by invite, and have the option of keeping their personal and Business workspaces separate, or merge them. New users who do not have ChatGPT accounts will have one created for them as a part of joining the ChatGPT Business workspace.
When logging into their ChatGPT accounts, users can select which workspace is active for the current session. On ChatGPT web, workspaces are available from the profile menu. On mobile, workspaces are available in the sidebar.
Note: ChatGPT Business workspaces created before June 24, 2026 had access to a specific legacy Codex seat type. This is not applicable to any workspaces that did not add this seat type before this date. To learn more, review our article Managing legacy Codex seats in ChatGPT Business.
Managing ChatGPT Business Workspaces
ChatGPT Business management is built around two key concepts: roles and seats. There are four built-in roles in a ChatGPT Business workspace:
• Owners have full access, including billing, identity management, and workspace configuration, and can invite other roles, including additional owners.
• Admins help manage users and groups and perform routine administrative tasks.
• Analytics Viewers have limited permissions for viewing workspace information and analytics.
• Members can fully use ChatGPT and create GPTs but have no admin privileges.
Each role has a set of permissions that allow modification of workspace settings. Owners and admins are the most permissive role types, while members and analytics viewers have a limited set of permissions.
ChatGPT Business workspaces feature two types of seats - Standard ChatGPT seats and Premium ChatGPT seats.
Each seat type determines what a user’s usage limits are, and seats can be assigned to any role. Read more about seat types here.

Users can move between ChatGPT Business workspaces they are a part of, and their personal workspace by using the workspace switcher.

Managing ChatGPT Business memberships
Invite members
Anyone you invite should be an intended, ongoing member of your team. Business workspaces are designed for consistent, collaborative use within an organization. Misuse of seat assignments in violation of the Services Agreement may lead to workspace deactivation or account suspension.
• Go to the Business workspace.
• Go to Workspace settings > Members.
• Select Invite member.
• Import a CSV file or manually enter email addresses.
• Owners can select the role and seat type for each invite. Admins and members invite a Member using the workspace default seat type.
• Review the default seat type (Standard or Premium), then send the invites.
Sending an invitation does not purchase or reserve a seat. Seat availability is checked when the invitation is accepted. If the requested seat type is unavailable, the invitee can select Request to join. A workspace owner must make that seat type available or purchase another seat before approving access.
To add members in bulk, use a CSV with this format:

If a role is omitted, unrecognized, or unavailable to the person uploading the CSV, that user is added as a member. If seat type is omitted, the default seat type is used.
Manage pending invites and join requests
Pending invitations and join requests show the selected seat type. Admins and owners can cancel or resend pending invitations. Admins can review and reject join requests, but only workspace owners can approve them. Only owners can change a pending invitation’s role or seat type. To view Pending invites or requests:
• Go to Workspace settings > Members.
• Open Pending invites or Pending requests, depending on what you want to review.
• Review the pending user, role, and seat type.
• Approve, resend, edit, or reject the item as needed.
Change member roles
Only owners can change member roles.
• Go to Workspace settings > Members.
• Find the member you want to update.
• Select the current role in the Role column.
• Select the new role.
Request a Premium seat
Members with a Standard seat can request a seat upgrade. The Standard seat remains active while the request is reviewed. If an unused Premium seat is available, the owner can assign it. Otherwise, the owner must purchase a Premium seat before approving the change.
Change member seat types
ChatGPT Business supports Standard ChatGPT seats and Premium ChatGPT seats. Workspace owners control paid seat capacity, member seat assignment, and the default seat type. To upgrade an existing member, use the Seat type control and select Premium. Changing Role changes permissions, not the member’s seat type.
• Go to Workspace settings > Members.
• Find the member you want to update.
• Select the current value in the Seat type column.
• Select the new seat type and confirm the change.
Seat types can be swapped between members when one member has a Standard seat and another has a Premium seat. Review the seat-type change inWorkspace settings → Members before confirming.
Note that only Standard and Premium seats can be swapped. Legacy Codex seats must be reassigned separately. If either seat has a pending downgrade or removal, a workspace owner must cancel the scheduled change before assigning, reassigning, or swapping it.
Keep in mind that moving a member from a Standard to a Premium seat will increase their usage limits, while the reverse will happen when moving from Premium to Standard.
Remove members
Billing note: Removing a member ends their workspace access immediately, but will not remove their ChatGPT seat from the workspace’s billable seat count. To stop being billed for the seat starting with your next billing cycle, a workspace owner must remove it. In Workspace settings > Members, open Users and select Manage seats. Owners can remove members from the Members list. Admins can remove members with a lower role, but not other admins or owners.
• Go to Workspace settings > Members.
• Find the member you want to remove.
• Select the more options menu (•••).
• Select Remove member.
Default seat types for new members
Workspace owners can set the default seat type for new members from Workspace settings → Billing. The default is Standard unless the workspace has only Premium seats.
An invitation’s selected seat type takes precedence over the workspace default. Members without an assigned seat type receive the default when a seat of that type is available. Only workspace owners can change a member’s paid seat type.
Changing the default workspace seat type
Owners can change the default workspace seat type via Workspace settings.
• Go to Workspace settings → Billing.
• Under Seat preferences, change the default seat type.
Workspace discovery in ChatGPT Business
Workspace discovery helps people at your company find and join your ChatGPT workspace using a verified email address on your domain. This reduces manual onboarding and gets new teammates working in ChatGPT faster. Admins and owners control whether discovery is available, how the workspace appears, and who can join, from Workspace settings → Identity & access.
If someone signs up with a verified company email, they can see your workspace during the join flow and submit a request to join. Owners can review join requests from Workspace settings → Members. If you want a fully automated experience, you can allow people with your company domain to join without approval.
Automatically accepting join requests does not purchase or reserve a seat. If the required seat type is unavailable, a workspace owner must make a seat available before granting access. The same seat-availability check applies when joining with single sign-on.
Until you customize the workspace name, new users see a generic workspace name. Updating the workspace name makes it easier for coworkers to recognize the correct workspace.
For default behavior by workspace type:
• ChatGPT Business: workspace discovery is on by default.
• ChatGPT Enterprise/Edu: workspace discovery is off by default.
Turn workspace discovery on or off
• Go to Workspace settings → Identity & access.
• Under User Provisioning, turn Enable workspace discovery on or off.
• You can optionally toggle Automatically accept join requests
Update the workspace name
• Go to Workspace settings.
• Select the pencil icon next to the workspace name.
• Update the workspace name, then save the change.
Changes to the workspace name may take time to take effect.
Update the workspace display name
You can separately update the workspace display name to ensure new members of your organization can easily find and join the workspace. To do so:
• Go to Workspace settings → Identity & access.
• Under User Provisioning, change the Discoverable name.
Access workspace settings from Codex
If you are an admin working primarily in Codex, use the Workspace settings entry point in Codex web to open the ChatGPT Business admin console. To return to Codex, click the Back to Codex link on the top left.
FAQ
Can I use ChatGPT Business on my phone?
Yes. ChatGPT Business is available on iPhone and Android.
Can a workspace include both Standard ChatGPT and Premium ChatGPT users?
Yes.
How should I decide which members need Premium seats?
Choose based on each member’s usage needs. Premium may be a better fit for members who regularly reach Standard included-usage limits or need additional usage from workspace credits. Review the usage information available for your workspace alongside feedback from members. Seat recommendations are not automatic; a workspace owner chooses and changes each member’s seat type. Who can join my workspace?
Invited teammates can join when a paid seat of the requested type is available. If no seat is available, they can request access until a workspace owner makes one available.
Can I restrict members from adding additional members?
Members can invite other members using the default seat type - currently, it is not possible to restrict members from adding additional members. Admins and owners can cancel or resend pending invitations from Workspace settings → Members.
How many paid seats can a workspace have?
A ChatGPT Business subscription can include up to 200 paid Standard and Premium seats combined. At least two paid seats are required, and one Standard seat plus one Premium seat meets this minimum.

Note: workspaces created before August 24, 2026 retain their previous seat limit.
