Premium includes 5x more usage than Standard seats, no 5-hour usage limit, and the flexibility to mix, assign, and reassign seat types – all within one secure, centrally managed workspace.
Additionally, we’ve updated the way seats are used in ChatGPT Business. You can purchase Standard or Premium seats to allocate capacity for your workspace, and then assign them to different users, as needed. You can also switch users across seats, add capacity, or remove capacity.

ChatGPT Business is built around 2 types of seats: Standard seats and Premium seats. Each seat type gives users access to ChatGPT and Codex, with Premium seats including a higher usage allotment.

Managing billing in your ChatGPT Business workspace
You can review and manage seats, payment methods, and other billing settings from Workspace settings → Billing.
Workspace owners can:
Review paid seat counts, the next charge, and past invoices.
Add paid seats or schedule reductions for the next billing cycle.
Update payment methods and billing information.
Change the billing schedule or cancel the plan.
Payment methods
ChatGPT Business is a self-serve subscription that currently supports credit and debit card payments only. Invoice billing, bank transfer, wire, ACH, purchase orders, net terms, and split payments are not available for self-serve Business workspaces.
If your organization requires invoicing, contact Sales to discuss a contracted plan such as ChatGPT Enterprise or ChatGPT Education. When reaching out, include your organization name, estimated number of seats, preferred billing cadence, and any compliance or security requirements.
Support cannot convert an existing self-serve ChatGPT Business workspace to invoice billing.
Managing seats in your ChatGPT Business workspace
Workspace owners can add paid seats or schedule reductions, subject to the billing rules below.
At the start of each billing cycle, you are charged for all standard and premium seats in your workspace, whether or not they’ve been assigned to individual members.
To add paid seats or schedule seat reductions:
Go to Workspace settings → Members.
Select Users.
Select Manage seats.
Increasing your seat count beyond your current subscription level triggers an immediate prorated charge for the amount due to cover the remainder of your billing cycle.
Added seats are provisioned immediately once payment is processed successfully, and charges are final.
Once seats are added, they become part of your subscription and will be billed on a recurring basis at the start of each billing cycle, unless you schedule a seat reduction.
Seat reductions can be scheduled before your next billing cycle begins. Reductions take effect at the start of the next billing cycle and do not apply immediately.
You can’t reduce your subscription’s seat count below the number of occupied seats. First, free up seats by unassigning workspace members, and then try again.
Who can manage seats
Only workspace owners can add, reduce, assign, reassign, or change paid seat types from Workspace settings → Members.
Assigning or reassigning an unused seat
If your workspace already has an unused paid Standard or Premium seat, you can assign it to a member immediately without an additional charge. Reassigning an existing paid seat does not change your subscription seat count.
Removing a member
Removing a member from your workspace makes their seat available for assignment to another member, but it does not automatically reduce the number of paid seats in your subscription. If you no longer need the vacated seat, schedule a seat reduction from Manage Seats. The reduction takes effect at the start of your next billing cycle.
Failed payments for added seats
If payment for an added seat cannot be processed, the new seat is not added and your subscription seat count does not change. You can retry the purchase after updating your payment method.
Multiple seat changes
If you add multiple standard and premium seats in the same transaction, you will see the combined prorated charge before confirming the purchase. Each added seat becomes part of your recurring subscription starting with the next billing cycle.
Adding a seat takes effect immediately and is charged on a prorated basis. Seat reductions take effect at your next renewal. For example, adding one premium seat while scheduling the removal of five standard seats can create an immediate charge, even if your future recurring subscription total stays the same.
Monthly plan example
A customer buys 10 Standard seats at $25/seat and 5 Premium seats at $125/seat:
10 Standard seats × $25 = $250
5 Premium seats × $125 = $625
Initial monthly charge = $875
On day 10, the customer adds 3 Standard seats and 1 Premium seat, bringing the total to 13 Standard seats and 6 Premium seats:
3 Standard seats × $25 = $75
1 Premium seat × $125 = $125
Total monthly cost of added seats = $200
20 days remaining ÷ 30-day billing cycle × $200 = $133.33
Prorated charge on day 10 = $133.33
Starting with the next billing cycle, the monthly charge will be $1,075, reflecting the additional seats.
Annual plan example
A customer buys 8 Standard seats at $20/seat/month and 3 Premium seats at $100/seat/month on an annual plan:
8 Standard seats × $20 × 12 months = $1,920
3 Premium seats × $100 × 12 months = $3,600
Initial annual charge = $5,520
On day 100 of the annual billing cycle, the customer adds 2 Standard seats and 2 Premium seats, bringing the total to 10 Standard seats and 5 Premium seats:
2 Standard seats × $20 × 12 months = $480
2 Premium seats × $100 × 12 months = $2,400
Total annual cost of added seats = $2,880
265 days remaining ÷ 365-day billing cycle × $2,880 = $2,090.96
Prorated charge on day 100 = $2,090.96
Starting with the next annual billing cycle, the annual charge will be $8,400, reflecting the additional seats.
Note: On annual plans, added seats remain committed through the end of the current annual term. Seat reductions take effect at the start of the next annual billing cycle.
Upgrading a member from a Standard seat to a Premium seat
Upgrading a member from a Standard seat to a Premium seat increases their usage limits. Review the change in Workspace settings → Members before confirming.
If an unused paid premium seat is available
The owner can upgrade the member to it immediately without another charge; the former standard seat becomes available for another member to occupy.
If all Premium seats are assigned, or your workspace does not have any Premium seats
The owner can upgrade the member’s existing Standard seat to Premium by paying the prorated difference for the remainder of the billing cycle.
After successful payment, that member’s standard seat becomes a premium seat.
This upgrade does not leave an additional standard seat behind or increase the total number of paid seats.
Downgrading a member from a premium seat to a standard seat
Downgrading a member from a Premium seat to a Standard seat reduces their usage limits. Review the change in Workspace settings → Members before confirming.
If an unused paid Standard seat is available
The change takes effect immediately, and the vacated Premium seat becomes available for assignment to another member.
Because the total number of Standard and Premium seats in the workspace does not change, this will not result in additional charges or subscription changes, and the member’s new usage limits take effect immediately.
If you no longer need the Premium seat the member was previously occupying, you can schedule a reduction from Manage seats. The reduction will take effect at the start of the next billing cycle - no refunds are provided.
If all Standard seats are assigned, or your workspace does not have any Standard seats
The downgrade will be pending until the start of the next billing cycle, at which time the current Premium seat the member is occupying will become a Standard seat, and the subscription charges will reflect the reduced rate.
Scheduled Premium-to-Standard downgrades appear under Pending downgrades until renewal. Workspace owners can review or cancel a scheduled downgrade:
Go to Workspace settings → Members.
Select Pending requests.
Under Pending downgrades, find the scheduled change. To cancel it, select Cancel downgrade, then Cancel pending downgrade to confirm.
If you cancel the downgrade, the seat stays Premium and you continue to be billed for it. Otherwise, the downgrade takes effect at renewal.
Note that a seat with a scheduled downgrade or removal must have the pending change canceled before it can be assigned, reassigned, or swapped. Workspace owners can cancel downgrades under Pending downgrades and seat removals under Pending removals in the Pending requests tab. Owners can also complete seat changes, and new reductions if needed.
Increasing a seat quantity in Manage Seats may first reinstate an unassigned seat already scheduled for removal before purchasing a new seat.

Swapping seat types between members
Seat types can be swapped between members when one member has a standard seat and another has a premium seat. Review the seat-type change in Workspace settings → Members before confirming.
Because the total number of standard and premium seats in the workspace does not change, seat swaps do not result in additional charges or subscription changes. The updated seat assignments and usage limits take effect immediately.
Seat swaps are available only between standard and premium seats. Legacy Codex seats cannot be included in a swap and must be assigned or reassigned separately.
Removing unused seats
Removing unused Standard and Premium seats will take effect at the start of the next billing cycle. Review changes viaWorkspace settings > Billing before confirming. Upcoming seat reductions will be shown in the billing tab once confirmed.
Manage billing information
Only workspace owners can view and manage workspace billing information.
From the billing settings area, owners can:
• View past invoices
• Change credit card details
• Update billing information
• Cancel the plan through Manage plan
• See the next invoice date and amount
• See how many seats and users are currently in the workspace
• Access credit-related controls such as adding credits or enabling auto-top-up if those controls are available in the billing area
Change billing cadence
Owners can change the subscription’s billing cycle from monthly to annual, or from annual to monthly. This change affects all seat types within the subscription, and may affect your price per seat.
To manage your billing cycle:
• Go to the billing area for the workspace.
• Select Manage license.
• Select Billing schedule.
• Select the new billing schedule, then select Continue.
• Select Confirm.
• Review the next renewal date, because the change takes effect at renewal rather than immediately.
Examples:
• Monthly to annual: if today is July 8, 2026, and the monthly subscription renews on July 17, 2026, changing to annual means the next renewal still happens on July 17, 2026, but the subscription then runs through July 17, 2027.
• Annual to monthly: if today is July 8, 2026, and the annual subscription renews on September 17, 2026, changing to monthly means the next renewal still happens on September 17, 2026, but the subscription then runs through October 17, 2026 instead of September 17, 2027.
Manage tax and VAT information
If you are in a region that levies VAT, you can self-identify as a business and enter your Tax ID at checkout. This automatically exempts the purchase from VAT, and the same status applies to future invoices.
Refunds and Cancellations
ChatGPT seats
Unused ChatGPT seats are not refundable once you commit to a seat count on either a monthly or annual plan. Billing is based on the workspace’s billable seat count, not whether every seat is actively used at the time of billing. Owners can adjust your plan’s seat count at the end of your billing cycle for future periods.
Only workspace owners can cancel the plan from Workspace settings > Billing. Click the Cancel button in the bottom of the page to get started.
FAQ
Does ChatGPT Business still require 2 seats?
Yes, and this can be a combination of Standard and Premium seats (for example, 1 Standard and 1 Premium will meet the 2-seat minimum requirement).
When will I see new pricing changes take effect?
Purchasing a paid seat takes effect immediately and is charged on a prorated basis. Seat reductions and scheduled downgrades take effect at the start of your next billing cycle.
Why can’t I choose monthly billing when upgrading a member to Premium?
An existing workspace has one billing schedule for its paid seats. Upgrading a Standard seat to Premium uses that same schedule, so an annual workspace does not offer a separate monthly option for one member. A workspace owner can change the billing schedule for the whole subscription; the change takes effect at renewal.
What should I do if a seat upgrade shows an error?
Before retrying, check the member’s current Seat type in Workspace settings → Members and review the latest invoice in Workspace settings → Billing. An error message alone does not tell you whether the purchase completed. If the seat type or charge is not what you expected, contact OpenAI Support with the time of the attempt, the invoice details, and a screenshot of the error. For help, see: contacting OpenAI Support.
Can I request a refund for an unused ChatGPT seat?
No. Unused ChatGPT seats are non-refundable once the workspace has committed to the seat count for that billing cycle.
Can I reduce the number of ChatGPT seats on my plan?
Yes. Owners can reduce paid ChatGPT seats for future invoices; changes are scheduled to take effect at the start of the next billing cycle.
Is there an upper limit on the number of paid seats in my subscription?
Starting on August 24, 2026, the upper limit is 200 paid Standard and Premium seats total per ChatGPT Business subscription. Our support team is unable to change your maximum seat limit.
The limit includes all purchased Standard and Premium seats, including unassigned seats. If your subscription is at its limit, you cannot purchase additional seats or approve a request that requires another paid seat. You can still assign, reassign, or swap eligible seats that you have already purchased.
If you need a larger number of seats, consider ChatGPT Enterprise.
Note that workspaces that were created before August 24, 2026 retain their previous seat limit.
