Overview

ChatGPT Business is a collaborative environment, but each user has their own chat history and chooses what to share. Shared links let teammates view specific conversations, and workspace data is handled under Business terms and privacy commitments.

Privacy and data handling

ChatGPT Business adheres to our Business Terms and the privacy policies listed on the Enterprise Privacy page. OpenAI won't train on your workspace's data.

Business data is excluded from training by default and is encrypted in transit and at rest.

In a ChatGPT Business workspace, each user has their own chat and Codex history. Other members do not automatically see those chats or Codex activity.

The same privacy commitments continue to apply when a workspace uses Codex or other usage-based features in ChatGPT Business.

Admin visibility and usage analytics

Workspace-level spend controls can show operational metrics such as usage and credits. They do not automatically give other members full access to a user's private chat history. Learn more in Managing credits and spend controls in ChatGPT Business.

Shared links

Shared links let users in a ChatGPT Business workspace generate a unique URL for a conversation and share it with other members of the same workspace.

Shared conversations can include supported images or uploaded files, depending on the sharing experience and recipient permissions. Review the shared content before sharing.

If a shared link is opened by someone outside the workspace:

• They cannot see the shared chat.

• They are redirected to the ChatGPT home page with a message that they do not have access.

If a viewer continues a shared conversation:

• A new private conversation is created in that viewer's workspace.

• The new conversation is not shared by default.

If scheduled task sharing is available for the account, a ChatGPT Business member can share an eligible task with other members of the same workspace. People outside the workspace cannot open a task link created inside that workspace. Business members can view a personal-account task link, but cannot schedule it in their Business workspace.

A shared scheduled task includes its title, instructions, schedule, and original time zone. It does not include the creator’s name, chat history, previous task results, saved memories, custom instructions, or connected app credentials. Each eligible recipient who schedules the task creates a separate copy in their own account.

Manage shared links

• Go to Settings > Data controls.

• Under Shared links, select Manage.

• To remove a shared link, select Delete shared link.

• If a link is unshared and someone tries to access it later, they see an error and are redirected to a blank chat window.

Shared scheduled task links can be managed with other shared links or from the task’s Share task dialog. To remove a task link, select the trash can icon next to the shared link, then select Delete share to confirm. Deleting the link does not delete the original task or any separate copy that a teammate already scheduled.

Use event-triggered tasks with connected apps

ChatGPT Business members can create event-triggered (webhook-based) tasks in Work using supported Gmail, Slack, and GitHub connections. Members use their own connected-app access and workspace permissions.

For Slack-triggered tasks, add @ChatGPT to each channel the task monitors. Event-triggered tasks can be shared and scheduled by teammates who use their own connected apps and permissions.

Collaboration boundaries

A ChatGPT Business workspace is collaborative, but collaboration does not mean all chat history is shared. Users can share specific chats and GPTs, but they cannot automatically view other members' private chat history.

A Codex seat does not change these collaboration boundaries. Seat type affects product access, not whether other members can automatically read a user's chats.

FAQ

Why can't I see all the chats of my members within a Business workspace?

Because each user has their own chat history. A Business workspace allows collaboration, but chats are not automatically visible to other members.

Does usage analytics let admins read all user chats?

No. Usage analytics and spend controls are separate from chat transcript access. Each user still has their own chat history unless they choose to share a specific chat, GPT, or other resource.

Does using Codex change OpenAI's training policy for Business workspace data?

No. Business workspace data is excluded from training by default, including when the workspace uses Codex in ChatGPT Business.

What happens if I share a link with someone outside my workspace?

They cannot see the shared chat and are redirected to the ChatGPT home page with a message that they do not have access.

Can I disable shared links entirely?

No. This feature is available in ChatGPT Enterprise.

This distinction also applies to scheduled task links. ChatGPT Business does not provide the Enterprise workspace-wide control for disabling shared links. Business members can delete links they created, but cannot use an Enterprise-only workspace setting to disable sharing for everyone.

Can I export my data from a Business workspace?

No. Data export is not available in a ChatGPT Business workspace.

Scheduled tasks and shared scheduled task links do not change this restriction. Data export is not available from a ChatGPT Business workspace.
